Internship Overview
The primary responsibility of the Audit Scheduling Administrator Intren is to provide administrative and scheduling support to the Audit Operations team by coordinating audit activities, maintaining scheduling accuracy, and ensuring the effective planning and execution of food safety audits within the retail sector.
The role is designed to provide workplace learning and practical exposure to audit scheduling, client coordination, and operational administration processes. The incumbent will work closely with auditors, clients, and internal stakeholders to ensure audits are scheduled, tracked, and completed within agreed timelines while supporting service excellence and operational efficiency.
Responsibilities:
Audit Scheduling and Coordination
- Coordinate and schedule food safety audits in accordance with client requirements and operational deadlines.
- Monitor audit schedules and ensure all planned audits are allocated and communicated to relevant stakeholders.
- Track audit activities daily to ensure completion within the required reporting periods.
- Assist with scheduling adjustments and communicate changes timeously to auditors and relevant departments.
- Maintain accurate scheduling records and supporting documentation.
- Ensure audit planning aligns with operational requirements and service commitments.
Client Communication and Support
- Serve as a point of contact for audit scheduling-related enquiries.
- Respond professionally and timeously to client communications.
- Provide clients with audit confirmations, updates, and scheduling notifications.
- Escalate scheduling concerns, service issues, or client complaints to the appropriate manager.
- Build and maintain positive relationships with internal and external stakeholders.
- Support client meetings and ensure action items are followed through.
Operational Administration
- Assist with daily administrative tasks related to audit planning and coordination.
- Maintain accurate audit records, schedules, and operational documentation.
- Ensure auditors have the necessary information and resources required to conduct audits.
- Support operational teams with administrative requirements as needed.
- Assist in managing audit-related correspondence and filing.
- Ensure information is updated and maintained within relevant systems.
Service Delivery Support
- Support the achievement of audit turnaround times and service level agreements.
- Assist with the coordination and tracking of audit reports and related documentation.
- Monitor audit progress and escalate potential delays or risks.
- Ensure audit scheduling activities contribute to overall client satisfaction.
- Support the delivery of high-quality customer service throughout the audit process.
Financial and Cost Management Support
- Assist in planning audit activities to support operational and budgetary requirements.
- Coordinate audit schedules to promote cost-effective travel and accommodation arrangements where applicable.
- Support invoicing and administrative processes by ensuring audit information is submitted accurately and within required deadlines.
- Assist in maintaining records required for financial tracking and reporting.
Reporting and Record Management
- Maintain accurate records of audit schedules, client communications, and operational activities.
- Prepare weekly and monthly scheduling reports as required.
- Monitor audit completion status and provide updates to management.
- Ensure all documentation is stored and maintained in accordance with company procedures.
- Assist with data capturing and reporting activities.
Requirements
- National Diploma, Certificate, or Degree in:
- Business Management,
- Administration,
- Operations Management,
- Food Safety,
- Logistics,
- or a related field.
- Experience using Microsoft Office applications, particularly Excel, Word, and Outlook.
Advantageous
- 0 – 1 year’s experience in administration, scheduling, customer service, coordination, or a related environment.
- Food Safety or Occupational Health and Safety training will be advantageous.
- Exposure to working with clients, internal stakeholders, or operational teams will be advantageous.
- Experience in data capturing, record management, or general administrative functions will be advantageous.
